This policy explains what NearSight collects, how we use it, and who we share it with. It covers both our website and the NearSight application.
This distinction matters, because different rules apply to each.
| Type | What it is | Our role |
|---|---|---|
| Account Data | Your name, work email, company, billing details, login and usage records. | We are the controller. We decide how it is used. |
| Claim Data | Carrier estimates and claim files you upload — which typically contain property owner names, property addresses, claim numbers, and loss details. | We are a processor. We handle it only on your instructions, to provide the Service. |
Claim Data usually contains personal information about people who are not our customers — the homeowners on the claim. You are responsible for having the right to upload it. We process it solely to produce your scope analysis, and for no other purpose.
We do not sell personal information. We do not use your Claim Data to advertise to you or to anyone else.
To analyze an estimate, the document's text is transmitted to a third-party AI provider that performs the analysis and returns results to us.
This means the contents of the estimates you upload, including any personal information they contain, leave our systems and are processed by that provider under their terms. We select providers that offer commercial terms restricting use of submitted content for model training, but you should not upload material you are not permitted to disclose to a subprocessor.
If your organization requires that claim data never leave a defined boundary, contact us before uploading anything.
We share data only with service providers who help us run NearSight, each bound to confidentiality and permitted to use it only for that purpose:
| Provider | Purpose | Data involved |
|---|---|---|
| [AI PROVIDER — e.g. OpenRouter / model vendor] | Document analysis | Estimate text, incl. any personal info in it |
| Render | Application hosting and database | Account Data, Claim Data |
| Vercel | Website hosting | Site usage |
| Stripe | Payment processing | Billing details (card data goes to Stripe, not us) |
We may also disclose information where required by law, to enforce our Terms, or in connection with a merger or sale of assets (in which case this policy continues to apply).
We use access controls, encryption in transit, tenant isolation so one customer cannot access another's data, and authentication on all data endpoints. No system is perfectly secure; we cannot guarantee absolute security. If a breach affects your data we will notify you without undue delay.
We keep Claim Data while your account is active. On termination you may export it for 30 days, after which we may delete it. You may request deletion of specific Claim Data at any time by writing to [SUPPORT EMAIL]; we will delete it within 30 days except where retention is legally required. Account and billing records are kept as long as needed for tax and legal purposes.
Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to certain processing. Contact [SUPPORT EMAIL] and we will respond as required by law.
For personal information belonging to property owners in your Claim Data, direct requests to you as the controller — we will assist you in responding, but we do not have a direct relationship with those individuals.
We use only what is necessary to keep you logged in and to operate the site. We do not use advertising cookies or third-party tracking pixels on the application.
NearSight is a business tool and is not directed to anyone under 18. We do not knowingly collect information from children.
We will post updates here and change the date above. Material changes will be notified by email or in the application.
